Ray White Streamlines Leave Management

Ray White is a household name in Australia and New Zealand, a name synonymous with the real estate industry and related services.

In 2008, shortly after implementing Sage Micropay Meridian, Ray White Payroll Manager Jodie Usher was becoming increasingly aware of the inefficiencies in their leave management processes. The Leave Liability reports were not accurate and sometimes paper forms were lost or misplaced. “Data within payroll was not accurate and usually behind due to delays with receiving paper-based leave requests from different locations throughout Australia”, said Ms Usher.

Paperless Leave Management

Ray White recognised the efficiencies and improvements that could be gained by implementing the base module of ConnX. “It seemed a natural progression for us and ConnX has made a huge impact on time saving during payroll processing”, said Ms Usher. Leave Management is now paperless, staff and managers have on-line access to leave history, and leave requests are automatically sent to managers for approval, ensuring more accurate and up-to-date information in payroll.

“We are impressed with the flexibility offered by ConnX. Our leave approval structure is complex and ConnX manages this effortlessly. ConnX provides the facilities to turn functionality on or off, so we can customise the system to meet our needs and weren’t forced to process leave in a different way”

Counting the Benefits

The result of implementing ConnX has been more streamlined payroll processing and reduced data entry for payroll. “We were previously entering between 50 and 60 leave requests manually every pay cycle, then filing the approved paper requests. Everything is now on-line and we have achieved impressive productivity savings. I now have more time to spend on more value add activities”, said Ms Usher.

Senior management are also impressed with the level of workforce information at their fingertips – having employee data for every person in their team ensures they have the information required to support informed decision-making.

Data Accuracy Improvements

Employees are updating their details and accessing lost payment summaries without the need to contact Payroll. “The data in the payroll system is more accurate now than it ever was. Employees find the system easy to use and update their personal details themselves which saves us time”, said Ms Usher.

Usability Counts

The intuitive user interface made the ConnX roll out easy. The staff were eager to use the system and the feedback was excellent. “ConnX is very simple to use. This useability makes it easier for payroll, as calls from managers and staff are minimised”, said Ms Usher. The ConnX rollout was completed with a staff email outlining access information and key features; the intuitive user interface ensured staff were comfortable and keen to explore the functionality on offer. Support from ConnX was integral to ensuring the success of the project.

“The support we receive from ConnX has been impressive. The guidance we received during the implementation was invaluable, and on-going the support has been excellent”, said Ms Usher.
